TribunalBot (tribunalbot.co.nz) is operated by Telepathy, a New Zealand company. This policy explains what data we collect, how we use it, and your rights.
1. What We Collect
When you use TribunalBot, we may collect:
- Property address — to identify the tenancy in your Evidence Pack.
- Tenancy details — rent amount, tenancy dates, and payment frequency to reconcile rent payments.
- Uploaded documents — bank statements, tenancy agreements, communication records, notices, and photos. These are processed to generate your Evidence Pack.
- Email address — if provided, to deliver your Evidence Pack PDF.
- Payment information — processed entirely by Stripe. We never see or store your card details.
- IP address — used for rate limiting only. Not stored long-term.
2. How We Use Your Data
- Parse and reconcile rent payments from your bank statements.
- Build a communication timeline from uploaded messages and emails.
- Validate notices against Residential Tenancies Act 1986 requirements.
- Detect potential retaliation risk factors.
- Generate tribunal-ready Evidence Pack documents.
- Process payments via Stripe.
- Email your completed Evidence Pack.
- Enforce rate limits to prevent abuse.
We do not use your data for marketing, advertising, or profiling.
3. Third-Party Services
We share data with these services only as needed to provide TribunalBot:
- Anthropic (Claude AI) — processes case data to generate analysis sections of your Evidence Pack. Subject to Anthropic's Privacy Policy.
- Stripe — processes payments. Subject to Stripe's Privacy Policy.
- Amazon Web Services (AWS) — hosts our database and document storage in the Sydney (ap-southeast-2) region.
- Vercel — hosts our website.
- Upstash — provides rate limiting and vector search infrastructure.
- Resend — delivers transactional emails with your Evidence Pack attached.
4. Data Retention
- Transaction records (case details, uploaded documents) are retained for 12 months for support and dispute resolution, then deleted.
- Generated PDFs are stored for 90 days to allow re-download, then deleted.
- Rate limit data (IP-based counters) expires automatically within minutes.
- Payment records are retained by Stripe per their policies.
5. Your Rights
Under the New Zealand Privacy Act 2020, you have the right to:
- Request access to any personal information we hold about you.
- Request correction of inaccurate information.
- Request deletion of your data.

6. Cookies
TribunalBot does not use tracking cookies or analytics. Essential cookies may be set by our hosting provider (Vercel) for basic site functionality.
